How to communicate effectively with your destination wedding planner

Your destination wedding planner often works on multiple weddings at the same time. Do not feel marginalized, if she is good, each wedding is looked at individually and each one is different.

Every wedding has many details that must be taken care of. Try not to call your coordinator several times a day to discuss the details one by one. Make a list, and then call or email your planner with your questions.

Email is another area we need to discuss. If your coordinator sends you an email to discuss seating arrangements and puts “Seating Arrangements” in the subject line of the email, don’t hit reply and talk about the cake. Every email should have a relevant subject line. That way, when the coordinator is organizing things, he or she knows exactly which email belongs to which. Otherwise, you will have to read all the emails (and there may be a lot) to find the necessary information.

You should have fun looking at magazines and the Internet to find things you love. Design of cakes, bouquets, hairstyles, etc. If you’re planning quite far, save files of the images you like. You will fall in love with many things, so do not send all the photos of all the bouquets that you like. Wait until about 6 weeks before then review your files. Choose the one you like best and send it. It can be very confusing to review images of 16 bouquets to find the final choice for the bride.

And try to avoid using terms like ASAP. Most coordinators will contact you automatically as soon as they can and terms like ASAP can be irritating because they imply that you think your scheduler is ignoring you.

He hired his planner in part because of his experience. Respect them and you will get the best of everything.
